The real problem
Most jobs aren't lost on price
They're lost somewhere between “I'll call them back” and next Thursday. Here's where the money leaks out.
Leads land in five different places
A voicemail, a text, a Facebook message, a form on your site, a note on the truck dash. By Friday, half of them are gone.
The follow-up never happens
Most jobs are lost to silence, not to price. You meant to call back Tuesday — then a job ran long and Tuesday disappeared.
Quotes go out and vanish
You sent the estimate. Did they open it? Did they decide? You have no idea, so you either nag or let it die.
What's inside
One tool from first call to final invoice
Every part of the job lives in the same system, so nothing gets re-typed and nothing falls through a crack between apps.
Dashboard
Today's follow-ups, overdue tasks, new leads, and open quotes on one screen.
Contacts
Every lead and customer with tags, custom fields, notes, and a full activity timeline.
Companies
Group contacts under the business they belong to — property managers, GCs, HOAs.
Pipeline
A drag-and-drop board with stages you rename and recolor to match your process.
Tasks
Follow-ups, callbacks, and to-dos with due dates, priorities, and assignees.
Quotes
Build from a catalog or template, send a link, and see accept/decline in real time.
Invoices
Convert a won quote to an invoice, take card payments, and record what's been paid.
Appointments
Book jobs and site visits against a contact, with reminders that actually go out.
Calendar
A month/week view of the whole crew's work, synced to the calendar you already use.
Reports
Leads by source, conversion rates, revenue, and team performance — exportable to CSV.
How it works
The details, since you asked
Pipeline
See every open job on one board
Drag a lead from New to Contacted to Quoted to Booked. Stages are yours to define — rename them, recolor them, add the ones your trade actually uses. Nothing is hidden three clicks deep.
- Drag-and-drop kanban board
- Fully custom stages, names, and colors
- Deal value and job details on every card
- Filter by owner, tag, source, or stage
Automation
The follow-up runs itself
Build simple when-this-then-that rules. When a lead comes in from your website, create a call-back task for tomorrow and tag it. When a quote is accepted, book the job and email the customer. You set it up once.
- When X happens → do Y rules
- Auto-create tasks, tags, and emails
- Recurring jobs for maintenance contracts
- Automatic review requests after a job closes
Quotes & invoicing
Quote it, win it, get paid for it
Build a quote from a saved catalog of your services and reusable templates, send it as a link, and watch it get opened and accepted. One click turns a won quote into an invoice that a customer can pay by card.
- Product & service catalog with saved pricing
- Reusable quote templates
- Public quote links with accept / decline
- Card payments via Stripe, plus manual payment records
- Recurring subscription billing for retainer work
Scheduling
Let customers book you without the phone tag
Each user gets a public booking page with their own availability. Appointments land on the calendar, sync to the calendar app you already live in, and send reminders on their own.
- Public self-service booking page
- Google Calendar sync
- Universal iCal feed for Apple and Outlook
- Appointment reminders and daily digests
Conversations
Email and text from inside the record
Connect your own email and SMS provider and message customers straight from their contact page. Replies come back into the timeline, so the whole history lives in one thread instead of on somebody's personal phone.
- Send and receive email (Resend or Mandrill)
- Two-way SMS (Twilio or Telnyx)
- Reusable email templates with merge fields
- Every message logged on the contact timeline
Reporting
Know which marketing is actually working
See where leads come from, how many turn into booked work, what each source is worth, and how the team is performing. Export any report to CSV when you need it in a spreadsheet.
- New leads and conversion by source
- Revenue and quote win rates
- Per-user activity and performance
- CSV export on every report
Your customers see it too
It doesn't stop at your screen
The parts customers touch look professional — because how you follow up is part of how you sell.
Lead capture forms
Build a form, drop the embed snippet on your website, and submissions arrive as contacts in the right pipeline stage — already tagged with their source.
Customer portal
Send a secure magic link and your customer can see their quotes and upcoming appointments, accept an estimate, and message you back.
Review requests
Ask for the review automatically after a job is marked complete, on the delay you choose, pointed at the review page you care about.
Optional
AI assist, only if you want it
Turn it on in settings and it helps with the writing and the triage. Leave it off and the product works exactly the same. It's opt-in at the workspace level, and the owner controls it.

Questions
Everything else you're wondering
What exactly is this?
VWS FollowUp is a CRM built for small service businesses. It keeps every lead and customer in one place, reminds you to follow up, moves jobs across a pipeline, and handles quotes, invoices, appointments, and payments — without the complexity of an enterprise sales tool.
Who is it for?
Teams of roughly one to ten people who sell and deliver a service: plumbers, HVAC techs, landscapers, cleaners, pressure washers, roofers, contractors, photographers, and consultants. If your work starts with a quote and ends with an invoice, it fits.
Can I bring my existing customer list?
Yes. Import contacts from a CSV — most people are up and running with their spreadsheet in a few minutes. You can export everything back out at any time, including a full workspace export.
Do I need a credit card to try it?
No. Signing up starts a 14-day free trial with the full feature set unlocked. You pick a plan when the trial ends, and nothing is charged before then.
Do I have to use your email and text provider?
No — you connect your own. Email runs through Resend or Mandrill, SMS through Twilio or Telnyx. Your sending reputation and phone number stay yours.
Does my team each need a login?
Yes, and that's the point — everyone gets their own account with a role (owner, manager, or staff). You can limit which records each person sees, and every action is attributed to the person who took it.
Can I run it on my own server?
Yes. The project is MIT licensed and ships with Docker support, so you can self-host it on a VPS or any container platform. The hosted version exists so you don't have to.
What happens to my data if I leave?
You export it and it's yours. Owners can export the entire workspace from Settings → Data, and delete the account from the same place.
How many jobs did you lose last month because nobody called back?
Set it up this afternoon. Import your contacts, build your pipeline, and let the follow-ups run themselves. 14 days free, no card required.
